  • Specific Responsibilities

    Order Management Coordinator

    1. Orchestrate and managing through email, phone and different software applications the process of Import and delivery orders to main customers
    2. Send arrival notices, invoices, delivery orders and file settlement reports.
    3. Communicate with customs house brokers (internal or external) and overseas LFL offices and/or agents regarding shipment details and problem resolution.
    4. Communicate with steamship lines/terminals/CFS/rail ramps to verify inbound arrival information.
    5. Process and generate purchase orders to send to teams overseas
    6. Update and forward customer shipment tracking reports as required by customers’ Standard Operating Procedures (SOP’s).
    7. Keep internal log of PO’s and managing shipments with overseas teams.
    8. Arrange trucking to customer’s warehouses as required by SOP’s.
    9. Communicate with freight locations to verify shipment availability.
    10. Liaise with warehouse and manage the routing process of orders
    11. Managing the inbound and outbound flow
    12. Keep close control of inventory and drop weekly orders to be dispatched by warehouse
    13. Identify and resolve issues causing delays in ocean cargo movement.
    14. Update customer and internal SOP’s as necessary.
    15. Create and forward back up documentation for accounts payable for payments on appropriate A/P posted items.
    16. Review and notate shipment file number of trucker invoices.  
    17. Review and Approve invoices of Logistics, Warehouse and other operations for payment by accounting department. Validate that match agreed rates.
    18. Visiting warehouses often to check on process, status and other situations may happen.
    19. Additional duties as assigned.

    Skills and Requirements

    Job Requirements & Qualifications

    • Minimum 3 to 4 years order management experience with knowledge of ocean imports/ warehouse management and routing purchase orders.
    • Knowledge of international shipping procedures and port practices/procedures
    • Strong interpersonal skills.
    • Flexible and able to work well in a very fast paced environment.
    • Basic math abilities
    • Solid PC skills -- Excel, Outlook, etc.
    • Bluecherry knowledge (preferable)
    • EDI system knowledge and integration ERP systems
